1. What this covers
This policy explains what Loop AI collects and why — both for workspace accounts (people who create and manage loops) and for respondents (people invited to a voice interview).
2. Information we collect
Workspace accounts: your name, email address, and password; anything you add for your organization, like a name, logo, or theme colors.
Respondents: the audio and transcript of your conversation with the voice agent, an AI-generated sentiment label and rationale, and — only if the workspace's invite link happens to include it — your email address. We don't otherwise ask respondents to sign in or identify themselves.
3. How we use it
Transcripts are used to extract themes, feature requests, and sentiment for the workspace that ran the loop, so quotes are always traceable back to the exact conversation they came from. Account information is used to run the service itself (authentication, team invites, email notifications). We don't sell personal data.
4. Who else sees it
We share data with the following service providers, only as needed to run Loop AI:
- ElevenLabs — powers the voice conversation itself and produces the transcript and sentiment.
- OpenAI — analyzes transcripts to extract themes and feature requests.
- Amazon Web Services (S3) — stores uploaded files like organization logos.
- Postmark — delivers transactional email (invites, notifications).
- Heroku — hosts the application and database.
We don't share respondent data across workspaces — a loop's feedback is only visible to the workspace that created it.
5. How long we keep it
We keep feedback and account data for as long as the workspace exists, so its owner can keep reviewing past interviews. Deleting a workspace or account removes its loops and feedback; deleted data isn't recoverable.
6. Security
Data is scoped to the workspace it belongs to, transferred over HTTPS, and only accessible to signed-in members of that workspace.
7. Your choices
Workspace members can update or delete their account, or delete the whole workspace, from Settings. If you're a respondent and want your conversation removed, contact the workspace that invited you, or reach us directly and we'll help.
8. Changes to this policy
We'll update the date at the top of this page whenever this policy changes.
